Prepare one concrete scenario
Bring a short sample episode, two fictional show names and a written division of responsibilities. Do not upload private client recordings just to test a dashboard. Explain who owns the shows, who edits them and who may approve publication. A vendor can answer much more precisely when you describe a real operating pattern rather than asking whether the product is good for agencies.
Give every check an observable result
For access, ask whether the producer can complete the assigned task without seeing billing or another client’s work. For scheduling, ask how the release time is represented and checked. For transfer, ask which person initiates it and what the recipient must already have. Mark each result demonstrated, documented or unanswered. These labels are more useful than awarding five stars because the salesperson gave a confident answer.
Include the awkward case
Ask what happens if a file upload times out, a colleague leaves or a show moves to another account. The aim is not to manufacture failure or disrupt a live service. It is to learn the supported recovery sequence and the evidence that distinguishes a completed action from an uncertain one. Keep any identifiers or confirmation messages needed for support without saving credentials in the worksheet.
Make a buying decision from the record
Choose three essential checks and several preferences before the demonstration. A missing essential remains a blocker even if the product wins on minor conveniences. Compare finalists using the same scenario and retain the date, plan and open questions. Do not treat promised future functionality as a passed test. After selecting a host, the same scorecard becomes your launch acceptance list, reducing the gap between what looked good during evaluation and what the team must actually operate.
