Use three budget buckets
Separate creating the episode, delivering it and managing the operation. Creation may include recording, editing and artwork. Delivery includes hosting and any related website services. Operations includes scheduling, client approvals and administrative time. The same person may do all three jobs, but separating them helps explain why changing a hosting subscription may have little effect on the total cost of running a show.
Distinguish recurring and one-off work
A new cover design, a migration and a microphone purchase do not recur in the same way as monthly software. Keep them separate even if you choose to spread their cost across a planning period. Show the original amount and the allocation rule. Otherwise the apparent monthly saving from a tool change may simply reflect a one-time cost disappearing from the worksheet.
Avoid false savings
An integration may reduce repeated copying without removing the need for editorial review. A transcription feature may speed up a draft without eliminating correction. Record which task is actually replaced and which remains. Do not assume a feature produces a fixed number of saved hours or a guaranteed improvement in audience retention. Those outcomes require observation in your own process, not a calculation based on marketing language.
Make one practical decision
Choose the largest avoidable bottleneck rather than optimizing the smallest line on the invoice. If hosting already meets the requirements, a clearer approval routine may be more valuable than a platform switch. If the current arrangement creates repeated access or ownership problems, address those even if the alternative costs slightly more. Keep your cost record simple enough to update after a real invoice; an elaborate model that nobody maintains is less useful than an honest, dated estimate.
