Start with the release schedule
For each show, multiply the number of planned episodes by their expected finished duration. Add trailers and bonus content separately. Keep the unit visible: minutes per episode, episodes per month and total hours are easy to mix up. Use the finished media you expect to upload, not the length of the original recording session or the total time an editor spends on the project.
Ask about exceptional uploads
Replacement files, republished archives and unusually long interviews can change the calculation. Before choosing a plan, ask how the provider counts these cases. Do not assume that replacing an episode is free, charged twice or excluded; the supported rule matters. Make a note of the answer beside the schedule so a producer can see when an apparently routine action deserves a capacity check.
Compare the right risk
An upload-based package may be comfortable for a short, predictable release schedule even when the audience grows. A delivery-based package responds to a different part of the operation. Neither structure is automatically cheaper for every show. Compare a typical production month and an exceptional one, then separately estimate delivery. Keep unknowns visible instead of forcing every host into a single misleading price-per-listener figure.
Use the worksheet in production
Give the schedule to the person coordinating releases. If a new show is added or a long episode is approved, update the estimate before publishing rather than after receiving a bill. Leave room for work that is genuinely likely, not a giant speculative buffer that pushes you into an unnecessary tier. The worksheet should make buying clearer and day-to-day publishing calmer, without becoming a complicated accounting system for a modest hosting subscription.
